Forwarding calls to Tablevoice — provider guide

Who this is for: venues on Option B (keep your existing number, forward it to Tablevoice). Find your phone provider in the table below for the exact steps. You'll need the Tablevoice forwarding number we gave you during onboarding — if you don't have it, ask us before starting.

Before you start

  • Get your Tablevoice number from us. Every venue gets a dedicated forwarding destination — don't guess or reuse another venue's number.

  • Decide the mode: always-forward (Foodie answers every call) or conditional / no-answer forward (your line rings 3–4 times first, Foodie picks up what your team misses).

  • Disable voicemail on lines using conditional forwarding. Voicemail is a conditional forward — it races Foodie for the missed call, and on most mobile carriers conditional forwarding simply won't activate while voicemail is on. Ask your provider to remove voicemail from the line, or set the forward-to-Foodie delay shorter than the voicemail delay.

⚠️ The one rule for VoIP systems: keep the guest's caller ID

When your phone system hands a call to Tablevoice, the guest's own phone number must arrive with it. Foodie uses caller ID to recognize returning guests, pull up their reservation and contact history, and text them confirmations. If your system replaces the caller ID with your venue's own number, every caller looks identical and none of that works.

  • Automatic call forwarding rules (forward-all, forward-when-unanswered) pass the guest's caller ID through on every carrier and almost every VoIP system. This is the setup we recommend.

  • Blind (cold) transfer from a staff phone also keeps the guest's caller ID on most systems.

  • Attended (warm) transfer does not — it creates a brand-new call from your phone system, so Foodie sees your venue's number instead of the guest's. If your staff manually send calls to Foodie, they must use blind transfer.

  • Some systems (Ooma, Grasshopper, Zoom Phone…) have a setting for which caller ID forwarded calls show — set it to original caller, never the company number. The table below flags these.

How to verify it's working

  1. Call your venue's public number from your personal cell (not the venue's line).

  2. Foodie should answer (immediately for always-forward; after 3–4 rings for conditional).

  3. Ask us to check — or check the Tablevoice dashboard — that the call shows your cell number as the caller. If it shows the venue's own number instead, the caller ID is being rewritten: revisit the caller-ID setting or switch from warm transfer to a forwarding rule / blind transfer.

It's a VoIP / cloud system — look in the admin portal for Call Handling, Call Forwarding, or Routing rules on the number guests dial, and:

  1. Forward all calls (or unanswered calls after 15–20 seconds) to your Tablevoice number.

  2. Route missed calls to Tablevoice instead of voicemail, not in addition to it.

  3. If there's a caller-ID option for forwarded calls, choose original caller — and if staff hand off live calls manually, they must use blind (cold) transfer, never attended transfer.

  4. Place a test call from a cell and confirm Foodie sees the cell's number.
